Freelance billable hours tracker in Excel

A freelance billable hours tracker is a simple Excel log of who you worked for, what you did, how long it took, and whether those hours made it onto an invoice — not a vague calendar scribble you reconstruct on Sunday night. Yellowcell’s free billable hours tracker keeps yellow input cells and gray helpers so you can open it in Excel or upload to Google Sheets with no macros.

What a billable hours log should capture

If a row cannot survive a client asking “what did I pay for?”, it is not billable detail yet.

Simple Excel layout (yellow in, gray helpers)

ColumnExample
Yellow — date2026-09-12
Yellow — client / projectAcme · brand site
Yellow — taskHomepage copy revisions
Yellow — hours1.5
Yellow — rate85
Gray — amount=hours×rate
Yellow — invoice statusUnbilled / Sent / Paid
Yellow — notes (optional)Round to 0.25 if your contract says so

Examples only. Replace every yellow cell with your own time entries before you invoice.

Yellow = your time log. Gray = helper formulas (amount, weekly totals). No macros. Open in Excel or upload to Google Sheets.

Habits that keep hours from leaking

  1. Log same day — even a rough row beats reconstructing the week from Slack
  2. One row per work block — do not smash three clients into one “misc” line
  3. Invoice from the log — filter unbilled → copy line items → mark sent
  4. Separate non-billable — admin and learning belong elsewhere or in a tagged row
