Freelance billable hours tracker in Excel
A freelance billable hours tracker is a simple Excel log of who you worked for, what you did, how long it took, and whether those hours made it onto an invoice — not a vague calendar scribble you reconstruct on Sunday night. Yellowcell’s free billable hours tracker keeps yellow input cells and gray helpers so you can open it in Excel or upload to Google Sheets with no macros.
What a billable hours log should capture
- Date — the day the work happened (not the day you remembered)
- Client / project — who pays, plus a short project tag if you juggle several
- Task — one-line description you would put on an invoice line
- Hours — decimal hours (1.5, not “about 90 minutes”)
- Rate — hourly rate for that client or project
- Amount — hours × rate (helper formula is fine)
- Invoice status — unbilled, on draft, sent, paid
If a row cannot survive a client asking “what did I pay for?”, it is not billable detail yet.

Gray = helper formulas (amount, weekly totals).

Habits that keep hours from leaking
- Log same day — even a rough row beats reconstructing the week from Slack
- One row per work block — do not smash three clients into one “misc” line
- Invoice from the log — filter unbilled → copy line items → mark sent
- Separate non-billable — admin and learning belong elsewhere or in a tagged row
- Timers help only if the export lands in a sheet you actually invoice from
- Retainer clients still need a log when scope creep shows up
- Rate mistakes usually mean the rate column was blank — fill it per client
From hours log to invoice
- Filter Unbilled for one client for the billing period
- Copy date / task / hours / amount onto your invoice lines
- Mark those rows Sent the same day you send the invoice
- When payment clears, flip them to Paid (or archive that month’s sheet)
