Client retainer invoice in Excel
A retainer is recurring cash with a clear period and scope — not a vague “standing offer.” Excel works when each invoice states the month covered, fee, hours included (if any), overage rate, and amount due so you and the client never guess. This is invoicing layout help, not legal or contract advice.
Retainer vs project vs hourly

What every retainer invoice needs
- Service period — e.g. “Retainer · Sep 1–30, 2026” (not just “September services”)
- Fee line — flat monthly amount as quantity 1 (or prorated days if you mid-month start)
- Hours included — if the retainer is time-capped, state the cap and the overage rate on the same invoice or a linked SOW note
- Unused time policy — use-it-or-lose-it vs rollover (one sentence; match the contract)
- Amount due + due date — usually due on the 1st or Net 15; never leave the total blank

Gray = line totals, tax, amount due.
No macros.
Excel patterns that stay clear
- One invoice number per period — INV-1042 for September, INV-1043 for October; do not edit last month’s PDF in place.
- Separate overage line — “Overage 3.5 hrs × $X” under the retainer fee so the flat fee stays obvious.
- Paid vs billed columns — for your books, log cash received separately from invoices sent (matters for quarterly estimates).
- Yellow inputs / gray totals — type only in yellow; leave gray formula cells alone.
- Print to PDF — File → Print → Save as PDF before you email; keep a blank master copy.
Common retainer invoice traps
- Billing “ongoing work” with no period dates
- Mixing project deliverables into the retainer fee without a change order
- Tracking hours in chat while the invoice shows only a round number
- Letting unused hours roll forever with no written cap
- Sending the same static PDF every month with yesterday’s invoice number
