Freelance expense tracker in Excel

Most freelancers do not need full accounting software on day one. A short Excel expense log — date, vendor, category, amount — is enough to keep receipts from turning into a shoebox at tax time.

Columns that actually matter

With those fields, category totals and a running balance are formulas. You should not retype the same amounts into a second summary sheet by hand.

Keep the category list short

Advertising, office expense, supplies, software, travel, meals (business), utilities, professional services, and “other” cover a lot of sole-proprietor spending. Pick the same label every time. Put vehicle miles in a separate mileage log with trip date and purpose — not mixed into every receipt row.

Category names are for your records. They are not tax advice. Confirm deductible treatment with IRS.gov or a preparer before you file.

Yellow inputs, gray formulas

Mark editable cells in yellow and calculated cells in gray so you do not overwrite SUM formulas. Skip macros if you email the file or open it on locked-down machines.

Yellow = your numbers. Gray = formulas.
