Freelance hourly rate calculator in Excel

Guessing an hourly rate from what “people charge” is how freelancers underbill for months. A better floor starts from the take-home you need, a tax cushion, and the billable hours you actually sell — then Excel does the division. Yellowcell’s free one-sheet calculator is built for that math.

The three yellow inputs that matter

  1. Target take-home — what you want to keep after business costs (annual or monthly; stay consistent)
  2. Tax cushion % — a rough buffer for income and self-employment tax (illustrative only; confirm with a preparer — not tax advice)
  3. Billable hours — weeks per year × hours per week you can honestly sell (admin, sales, and sick days do not count)

Gray cells turn those into required revenue and an hourly floor. Quotes below that floor quietly steal from take-home or unpaid overhead.

Why billable hours beat “40 × 52”

If your floor looks “too high,” the fix is usually more billable work or lower take-home targets — not pretending admin is free.

From floor to day and project fees

Once the hourly floor is locked, the same sheet can multiply by day length and estimated project hours (plus a contingency %). That keeps day rates and fixed project quotes from contradicting each other when a client asks for both.

Put the rate on an invoice

The calculator is for you. The client sees a clean invoice: description, hours or units, rate, tax if any, amount due, and payment terms. Copy the locked hourly (or day / project) number into your invoice workbook so the quote and the bill match.
