How to print or save a freelance invoice as PDF from Excel

Clients usually want a PDF, not a live spreadsheet. A one-page Excel invoice can print or export cleanly if you set margins, orientation, and print area once — then Save as PDF every time you bill.

Before you export: make the sheet print-ready

Templates built for one page (Letter or A4) export more reliably than wide multi-column layouts. Yellowcell’s free sample and $19 kit are both designed to fit a single printed page.

Page setup checklist

In Excel: Page Layout → set orientation, size, and margins → Scale to Fit width/height to 1 page. Use Print Preview (Ctrl+P / Cmd+P) before you save.

Windows: Save as PDF

  1. Open the Invoice sheet
  2. File → Save As (or Export → Create PDF/XPS)
  3. Choose PDF as the file type, or pick Microsoft Print to PDF under Print
  4. Name the file clearly, e.g. Invoice-1042-Acme.pdf
  5. Open the PDF once and confirm totals and your contact block

Print to PDF is useful when you want the same dialog as a physical printer. Save As / Export keeps page setup from the workbook.

Mac: Save as PDF

  1. Open the Invoice sheet
  2. File → Print (Cmd+P)
  3. In the PDF menu (bottom left), choose Save as PDF
  4. Or File → Save As → Format: PDF, if your Excel build offers it
  5. Preview the one-page result before you email it

Google Sheets note

If you imported an .xlsx into Sheets: File → Download → PDF document. Set paper size and “Fit to width” / “Fit to page” in the print settings so the invoice stays one page. For best fidelity, export from desktop Excel when you can.
