Schedule C expense categories: what to log
Sole proprietors and freelancers often track business receipts against labels that resemble IRS Schedule C line items. A clear category list in Excel beats a pile of unlabeled photos at tax time.
Fields every expense row needs
- Date
- Vendor or payee
- Category (Schedule C–style label)
- Amount
- Payment method (optional but useful)
- Short note or receipt reference
With those columns, a running total and a per-category summary are formulas — not a second manual list.
Common category labels
Exact lines depend on your activity, but freelancers often use labels such as advertising, office expense, supplies, software/subscriptions, travel, meals (business), utilities, professional services, and “other.” Keep the list short enough that you pick the same label every time. Mileage is usually tracked in a separate log with trip date and purpose, not mixed into every receipt row.
