Self-employed quarterly taxes in Excel
Self-employed quarterly taxes are usually two layers: federal income tax estimates plus self-employment (SE) tax on net earnings. Excel will not file Form 1040-ES or Schedule SE for you — but a clean invoice, expense, and mileage workbook keeps the inputs honest before you (or a preparer) run the estimate. This is recordkeeping help, not tax, legal, or accounting advice.
Why “self-employed” changes the spreadsheet job
- Clients usually do not withhold — you set aside cash each quarter
- SE tax sits on top of income tax for many sole proprietors (confirm current rates and base with IRS.gov)
- Guessing from bank balance alone mixes personal spend with business profit
- A spreadsheet that separates paid invoices, ordinary expenses, and business miles is the difference between a calm estimate and a scramble
Minimal Excel layout for SE quarterly inputs
| Sheet / block | What you enter | Why it matters |
|---|---|---|
| Invoices paid | Invoice #, client, paid date, amount received | Estimates care about cash in the period, not just invoices sent |
| Expenses | Date, payee, Schedule C–style category, amount | Reduces net earnings before you talk SE tax or income tax |
| Mileage | Trip date, purpose, miles (date-aware 2026 rates) | Standard mileage is easy to undercount without a log |
| Quarter summary | Filter or SUMIFS by paid/expense/trip dates | One place to hand totals to tax software or a preparer |
Quarter habit (repeatable)
- Mark invoices paid when money lands — not when you send the PDF
- Keep one consistent expense category list (see Schedule C starter magnet)
- Log business trips the week they happen; 2026 business rates flip mid-year (72.5¢ then 76¢)
- Before the estimate due date, filter the quarter and export or print the three totals
- Pay via IRS Direct Pay / EFTPS / voucher; save confirmation numbers in a Notes cell
Typical federal estimate due-date rhythm and safe-harbor rules change with weekends/holidays and your facts — confirm on the IRS estimated tax calendar. See also our quarterly estimated taxes checklist for the calendar table.
