Freelance invoice template with no subscription

Monthly invoicing apps are fine when you need client portals, card checkout, and reminders. Many freelancers only need a clean PDF invoice plus a place for expenses and miles — and they do not want another recurring fee.

Subscription apps vs a one-time Excel file

Monthly invoicing apps Excel template (no subscription)
Cost shape Monthly or yearly plan One-time download
Who owns the file Data lives in their account Your .xlsx on your drive
Client payment in-app Often built-in You add ACH / link / check in payment terms
Expenses + mileage Usually separate tools or upsells Can sit in the same workbook
Macros / login Browser login None required for a simple sheet

Pick the app when you need automated reminders, multi-user access, or in-app card collection. Pick Excel when you bill a handful of clients, already get paid outside the tool, and want one file you can open offline.

What a no-subscription invoice sheet should include

Optional but useful for US sole props: a Schedule C–style expense log and a 2026 IRS mileage log (with the July 1 rate split) in the same workbook so month-end is one place, not three.

Yellow = your numbers. Gray = formulas. No macros. No monthly fee.

When to stay on a subscription

Otherwise a owned Excel template is enough — and cheaper over a year.

Record-keeping only — not tax, legal, or accounting advice.
